This page explains what personal information Naturemedies collects when you visit naturemedies.co.uk or order from us, why we collect it, who we share it with and what you can ask us to do with it. We have tried to write it plainly. If anything is unclear, write to us and we will answer.

1. Who we are

Naturemedies is a trading name of E-Macro Initiatives Ltd, a company registered in England and Wales (company number 09956945). E-Macro Initiatives Ltd is the data controller for the information described on this page.

2. What we collect, and when

  • When you place an order: your name, delivery and billing address, email address, phone number, the products you ordered and any note you add to the order.
  • When you create an account: your email address, your password (stored in encrypted form; we cannot read it) and your order history.
  • When you pay: payment is taken by our payment providers (section 4). We receive a confirmation that the payment succeeded. We never see or store your full card number.
  • When you write to us by contact form, email or WhatsApp: your name, your contact details and what you tell us.
  • When you leave a review or ask to be told when a product is back in stock: your name or email address and what you submit.
  • When you browse the site: technical information such as your IP address, browser type and the pages you visit, collected through cookies and similar technologies. Non-essential cookies are used only with your consent. The details are in our Cookie Policy.

We do not ask for information about your health. If you choose to mention a health matter in a message to us, we use it only to answer that message.

3. Why we use it, and on what basis

  • To supply what you ordered — taking payment, packing and delivering your parcel, handling returns and refunds, and answering your questions about an order. Basis: our contract with you.
  • To keep the records the law asks of a company — invoices and accounting records. Basis: legal obligation.
  • To run and protect the shop — preventing fraud and spam, fixing faults, and understanding in general terms how the site is used. Basis: our legitimate interest in running a safe and working shop.
  • To send you marketing messages or use non-essential cookies — only if you have agreed. Basis: your consent, which you can withdraw at any time, for example with the unsubscribe link in a message or by changing your cookie choices.

We do not sell your personal information, and we do not use it to make automated decisions about you.

4. Who we share it with

We share only what each of these needs in order to do its job for us:

  • Payment providers: Revolut (card payments, Apple Pay and Google Pay) and PayPal. Each handles your payment details under its own privacy notice.
  • Delivery companies: Royal Mail and any other carrier used for your parcel receive your name, address and, where needed for delivery, your phone number or email.
  • Website and technical services: the companies that host our website and provide its software, including Google (site statistics, used with your consent), Automattic (the Akismet anti-spam service) and the provider of our customer review tool.
  • WhatsApp: if you choose to contact us on WhatsApp, your messages pass through WhatsApp under its own terms.
  • eBay: if you buy from our eBay shop, eBay shares your order details with us so that we can send your order, and eBay’s own privacy notice also applies.
  • Our accountants and professional advisers, and public authorities such as HM Revenue & Customs, where the law requires it.

Some of these companies may process information outside the United Kingdom. Where that happens, we rely on the safeguards that UK data protection law provides for such transfers.

5. How long we keep it

  • Order and invoice records: for at least six years after the end of the financial year of the order, because company and tax records must be kept.
  • Your account: until you ask us to close it.
  • Messages and enquiries: for as long as needed to deal with them, and normally no longer than two years.
  • Marketing consent and back-in-stock requests: until you unsubscribe or withdraw your consent.

6. Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the personal information we hold about you;
  • correct information that is wrong or incomplete;
  • delete your information, where we have no legal reason to keep it;
  • restrict how we use your information, or stop using it, in certain circumstances;
  • give you your information in a form you can pass to another company;
  • stop sending you marketing at any time.

To use any of these rights, email emacro95@gmail.com. We do not charge for this, and we aim to answer within one month. We may need to ask you for proof of who you are before we act.

If you are unhappy with how we have handled your information, please tell us first so that we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint, telephone 0303 123 1113.

7. Keeping your information safe

The site uses an encrypted connection (https). Access to order information is limited to the people who need it to process and deliver your order. No website can promise complete security, but if something went wrong that put your information at risk, we would tell you and the ICO where the law requires it.

8. Children

Our shop is intended for adults. We do not knowingly collect personal information from anyone under 18.

9. Changes to this page

When we change this policy we publish the new version here and change the date at the top.

Use of artificial-intelligence tools

To run this shop we use artificial-intelligence (AI) tools, currently provided by Anthropic and OpenAI, which help us process and track orders, answer messages and manage deliveries. The details of your order (name, address, email address, telephone number and the products bought) may be handled by these tools, which act on our instructions. We remain responsible for your data.
